A reliable sample process records what changed, why it changed and which version was approved. This prevents an old photo, old measurement or verbal message from becoming the bulk-production reference by mistake.
Related real archive evidence is used to explain the control method; images are not automatically claimed to be one exact order unless the page states so.
Give every sample a clear version
The record should identify the style, sample size, date, fabric, color, revision number and the documents/images used for review. Buyer names and confidential specifications stay off public pages.
Convert comments into measurable actions
Instead of 'make it better', the log records actions such as shortening a sleeve, changing a zipper, moving a pocket, reducing waist or replacing a material. Photos can be marked when construction wording is not enough.
Lock the production reference
Bulk starts after the final sample/specification, quotation or PI, deposit and written approval are aligned. Later changes can affect price, material usage and timing and therefore need a new written confirmation.

- Keep requested and actual measurements together.
- Record material, trims and color with the sample.
- Identify the final approved version in the PI or production file.
